Event Ops
Event Lifecycle SOP
A chronological execution checklist for organizers, race officers and tracking officers across all race stages.
1. Before Going on the Water (D-30 to D-Day)
- 01Create Event & set permissions: create the Event in the authorized workspace, verify dates, venue and visibility entitlement.
- 02Competitor entries & pairing codes: import fleet roster, sail numbers and divisions; generate and print crew 6-digit pairing cards before the technical briefing.
- 03Course topology & MarkSet: design Course in Course Designer; start a shared room in MarkSet for mark boats to coordinate buoy anchors.
- 04Gear packing & dockside readiness: use Regatta Prep (/prep) to pack equipment crates by station; check phone/hardware tracking readiness on /check.
2. During Racing on the Water
- 01Record official signals: log the exact Warning, Preparatory, and Start gun timestamps in the Starting Timer (/timer) and committee paper log.
- 02Course shifts (Flag C): if wind shifts >15°, coordinate mark boats over VHF to reposition buoys, and hot-update coordinates in Course Designer.
- 03Monitor fleet telemetry: tracking officers monitor the Fleet Telemetry drawer. If a boat drops connection, log timestamp and boat sail number immediately.
- 04Share public viewer: distribute the public viewer link or QR code to spectators and media. Private events remain access-controlled.
3. After Racing (Close, Score & Debrief)
- 01Upload queue drain & replay verification: verify that all boats safely moored at the marina have drained their offline cached GPS points to 0, and confirm replay coverage.
- 02Review candidate finish times: open Results, import candidate bow-crossing times from track analysis, verify against the finish boat paper log, and enter penalty codes.
- 03Confirm & export bulletins: apply IRC handicaps and series discard rules, confirm results, add Chief Judge signatures and stamps, and export PDF/CSV.
- 04Conduct tactical debrief: open Analysis, debrief start TTL/DMG30, leg splits and maneuver Loss, and form 1–3 clear training action items.
